Allotments and Room rate season #
- On the system, the room rate and allotment date should be in alignment.
Meaning-> If Room Rate date band are as follows: 17/01/20 – 13/02/20; 14/02/20 – 22/ 02/20 and so, on till 07/ 01/ 21 – 31/ 01/ 21
You would have to create the same set of allotment dates to create an allotment.
Rate Date Band: 17/01/20 – 13/02/20 must correspond to Allotment Date Band of 17/01/20 – 13/02/20
The system won’t allow saving flat allotment date from 17/01/20 – 31/ 01/ 21
=> You will have to save the allotment date as per the rate date band, which can be time-consuming.
In case you want to save a flat allotment date from 17/01/20 – 31/ 01/ 21, below is a shortcut: –
- Create a Dummy Rate of Room Category ‘Deluxe’ with different meal types. With allotment date 17/01/20 – 31/ 01/ 21
- Then System will allow to create an Allotment date from 17/01/20 – 31/ 01/ 21.
- Now, you can delete the Dummy Rate Band.
- If the remark specified is general for all room categories, the best solution, for now, would be to put the detailed message under Hotel Message. But Hotel Message will be applicable for all the bookings under the hotel. For example, ‘Extra Bed is subject to availability It stamps on the voucher.
- Hotel Rates and Promotions should have the same meal type. If it’s different, the promotion won’t be displayed on B2B
Child Policy #
- The 1st child is always picked up from the Extra bed Child. If Occupancy Deluxe and Club room (2A + 1C) -> and the first child is allowed on the existing bed. In such cases, update the child in the extra bed range with whatever charges like meal supplement etc. is applicable. If no charges for the child, your age range for Extra Bed Child should be 0-2: 0.00 3- 11: 0.00 you can put the details in the room category message. Room Category Message: If a Child below 11 years old is sharing existing bedding with the parent. No Extra Bed will be provided.
- Always open the child range when updating child rates by unchecking the checkbox.
Note: – If in the room an extra person is not allowed then in that case system won’t pick any chargeable child so, we can update occupancies like 2A+1C or 2A+2C only if the child is free of cost.
General Policy #
- If Single rates are not applicable for some rooms, don’t put anything. Just leave the single and update the rate only in double.
- If received the NRF discount promotion, please update the rates as nonrefundable by copying the updated contract. Then you can put EBO on that nonrefundable rate.
- Before updating, discount promotions need to check on the system if the contract is updated or not as it applies directly to contracted rates.
- Need to check the promotion file for the Terms and conditions like extra bed rates, meal rates etc. first then check the CTR file for the details not mentioned.
- Under specified – room category, meal type, market and Min Stay condition -> System will allow you to save only one record. You cannot save another record under the same header with only a different rate code and room rate. Need to edit the Contract date band of Promotion dates, change the rates to promotional one and need to edit the same rates to Contract one, once the promotion is expired.
- We can’t put cancellations to different markets or promotion-wise. The cancellation policy is only one for one Hotel. So, if we have two cancellations for the same period, we need to consider a higher one.
- If your records are not getting saved and the system getting red text it means, there is an overlapping record and won’t allow you to save. You need to save a new record with a different meal plan wise or different room category-wise.
- NONE = apply to all. For example, if you select None in the room category, cancellation, or lock check in check out etc. will be applicable on all room categories updated in the hotel.
- In Promotions – You can either save room categories by specifying the name or keeping it as none. If the first record is saved with specifying the room category name, the system won’t allow saving another record with Room Category as “NONE”.
- When you have two cancel policies. Flexible and Non-Refundable, over one rate. Reconfirm with Hotel on the cancel policy. As we can support only one, enter the one recommended by the hotel/ white sand.
